The best surf school software in 2026: what actually matters
Written by Paulo Cavalcante — surf instructor in Huntington Beach, California, and founder of AYON. 26 years surfing, 4 years teaching, and one strong opinion: most school software was built by people who have never rinsed sand out of a wetsuit.
Every "best software" list on the internet is written by an affiliate marketer. This one is written by a working instructor who built his own platform — so read it knowing exactly where I stand, and judge the criteria on whether they're true, not on who wrote them.
The five questions that separate real platforms from pretty websites
1. Who holds your money? The single most important question. If student payments land in the platform's account and get "paid out" to you later, you are lending your revenue to a software company. The right answer in 2026 is direct Stripe Connect: the student pays, the money lands in your Stripe account, then your bank. The platform should never be in the money path.
2. What do the fees really total? Add the subscription, the platform commission, and card processing. Card processing (~5%) is Stripe's fee and exists on every platform — a company that pretends it doesn't is hiding it inside a bigger number. What varies is the rest: subscriptions that charge you in flat months, and commissions above 10%.
3. Can you refund without a support ticket? A refund is a customer-service moment that decides whether that family books again. If issuing one requires emailing the platform, the platform owns your customer relationship. It should be one tap, done by you.
4. Does the software understand the ocean? A surf lesson isn't a haircut appointment. The bookable hours depend on tide, swell and wind — and generic booking tools schedule 2 PM onshore chop as happily as a glassy dawn. In 2026, software can read the marine forecast per ability level and tell you which windows are teachable. If it can't, it's a calendar, not surf school software.
5. Do your students stay yours? Your student list, your payment account, your reviews, your direct line to every family. If leaving the platform means losing any of those, the price isn't 5% — it's your school.
How the options compare
| WhatsApp + spreadsheet | Generic booking tools | SurfSchool | |
|---|---|---|---|
| Card payments, direct to your bank | — | Sometimes (often held) | Your own Stripe, always |
| Cost structure | Free (paid in chaos) | Subscription + fees | No subscription · first 100 bookings 0% · then flat 5% |
| One-tap refunds by the school | — | Varies | Yes |
| Ocean-aware scheduling | Your instinct | — | Teaching windows per ability, forecast-labeled honestly |
| Coach assignment + alerts | Group chat | Basic staff calendars | Assignment, SMS/email alerts, workload view |
| Student progress tracking | Memory | — | Milestone ladder, coach-marked |
| Leave anytime, keep everything | n/a | Read the contract | No contract; your data and Stripe stay yours |
Why I built one instead of recommending one
I teach for top-rated Huntington Beach schools and coach my own students. I lived the WhatsApp chaos and the cash envelopes. Before asking any school to trust the platform, I ran a working school model through it — real bookings, real card payments, real refunds — and fixed what broke. The result is SurfSchool, and the terms are simple enough to fit in one line: free to start, first 100 bookings commission-free, then a flat 5%, no subscription, leave any day.
"No words can describe how fun it was to have my first surfing lesson with Paulo. From his passion for surfing to his phenomenal teaching ability, I am glad I had the opportunity to learn from him." — public Yelp review, 2024
The short version
The best surf school software in 2026 is the one where the money goes straight to you, the fees fit in one sentence, refunds are yours to give, the schedule understands the ocean, and the exit door is always open. Hold every platform — including ours — to those five questions.
